Call for Local Hubs

Do you want to facilitate a space for people to meet in your community?

If you do, organise a local hub!

Local hubs are in-person gatherings that take place during a RIPE Meeting.

They allow people who can't attend in person to watch the webcast of the RIPE Meeting and follow the discussions online while being with others in the community.

Best of all, participants can network with other community members from your country, experience the community spirit and discuss topics from a local perspective.

You can also expand the programme to hold additional debates around RIPE Meeting topics that interest local participants.

To organise a local hub, you’ll need:

A venue

You can host the local Hub where you would like to. Many organisers use their own office or rent a venue. The space should be able to accommodate at least 15 people, but there is no upper limit on the number of participants.

The venue should include:

  • One or two rooms with chairs and tables for people to follow the sessions
  • Reasonably fast Internet connectivity
  • A big screen and projector
  • Optional: conferencing-capable audio equipment

To Broadcast the RIPE Meeting

You need to broadcast at least two full days of the RIPE Meeting.

If you only have one room available, our recommendation is to discuss with participants and select the session that most people are interested in following. If you have more than one room, you can broadcast both sessions at the same time.

RIPE Meeting participants

Local hub participants need to be registered for the RIPE Meeting as online attendees to ask questions at the mic and to network with other online participants. They can register for free on the RIPE Meeting website.

Participation should be open to anyone from your city or country. You may close registration once the maximum capacity of your venue has been reached.

Organisers should make a reasonable effort to reach out to the local technical community. This can include promoting the local hub through local mailing lists, community groups, social media channels or other relevant networks.

Creating a registration page for your local hub is optional, but we strongly recommend it. Having a simple registration form helps you estimate how many people plan to attend, so that you can plan the space and logistics and helps you communicate updates to participants. It does not need to be complex. Even a simple online form is sufficient.

Optional: Food and drink

You can arrange food and drinks for participants and provide coffee and lunch breaks. If you do not wish to organise food and drinks, we suggest that you notify participants so they can bring their own or you can make a group reservation at a nearby restaurant.

People to organise the local hub

There are three main roles you should consider:

A coordinator: to arrange logistics (including refreshments), send announcements and invitations to the local community, inform the RIPE NCC about the local hub, etc.

A moderator: to facilitate discussions and relay questions to the RIPE community.

Technical support staff: to arrange technical logistics, be present for troubleshooting.

The roles can be carried out by the same person, or by different people, but please make sure they will be present onsite.

To fund your local hub

We understand that organising a local hub may involve costs such as renting a venue, providing audiovisual equipment and catering for participants.

As the organiser, you are free to seek sponsorship and acknowledge sponsors on your local hub website or promotional materials.

If you still want to organise a local hub after the deadline, you can promote your local hub yourself on the RIPE community mailing lists, RIPE NCC Forum and your social media channels.

The RIPE NCC is not responsible for non-performance of the Coordinator or any matters related to the organisation of the local hub, including technical, other relevant equipment or catering and beverages. Any questions and complaints about the local hub should be addressed directly to the Coordinator. The RIPE Code of Conduct applies to the local hub and all the attendees of the local hub.
